Derma Institute USA Training Terms and Conditions
Last updated: 24 September 2026
1. About these terms
1.1 These Terms and Conditions apply to training courses, course packages and Level 7 programmes booked with DERMA COURSES LLC, trading as Derma Institute USA (“Derma Institute”, “we”, “us” or “our”). Our business address is DERMA COURSES LLC, 4281 Express Lane, Suite L8319, Sarasota, FL, 34259. You can contact us at info@dermainstitute.us.
1.2 The person booking or attending training is referred to as the “delegate” or “you”. A “model” is a person who attends a supervised training session to receive an aesthetic treatment.
1.3 The course description, package contents, price, dates and any offer conditions shown to you when you book form part of your booking. Any different arrangement must be agreed with you in writing before payment.
1.4 Model appointments are also subject to Section 11 and any treatment consent form provided before treatment.
2. Bookings and eligibility
2.1 You must provide accurate information about your identity, profession, qualifications, experience and professional registration when requested. We may ask for evidence before allowing you to attend or undertake practical training.
2.2 You are responsible for checking that you meet the stated course entry requirements. Completing a course does not, by itself, give you legal authority to perform a procedure. You must check the licensing rules, supervision requirements and scope of practice that apply where you intend to work.
2.3 A deposit secures a provisional booking. Your place is confirmed when we receive the full course fee and send confirmation.
2.4 If you provide materially false information or do not meet the stated entry requirements, we may refuse or cancel your place. Any refund will depend on the circumstances and your rights under applicable law.
- Prices and payment
3.1 The course fee and any applicable tax will be shown before you pay. The price agreed at booking applies to your booking.
3.2 Unless we agree otherwise in writing, the outstanding balance must be paid at least four weeks before your first scheduled training day. If you book within four weeks of that day, the full fee is due when you book.
3.3 If the balance is not paid by the required date, we may release your provisional place and retain the deposit.
3.4 A discounted offer applies only if you meet its stated conditions, including any payment deadline. We will not withdraw a discount from a booking already accepted and paid for in accordance with those conditions.
3.5 Travel, accommodation and other personal expenses are your responsibility unless the course description expressly says they are included.
- Cancellation by a delegate
4.1 Cancellation requests must be sent in writing to info@dermainstitute.us. The notice rules in Section 5.5 determine when a request is treated as received. The first scheduled training day is not counted when calculating the notice period.
4.2 If you cancel a provisional booking before paying the full course fee, your deposit is non-refundable, subject to applicable law and the specific Level 7 and package rules in Sections 9 and 10.
4.3 Once a booking is confirmed, 50% of the total course fee is immediately non-refundable. If we receive your cancellation request at least one month before your first scheduled training day, we will refund the other 50% of the course fee you have paid.
4.4 If we receive your cancellation request less than one month before your first scheduled training day, the full course fee is non-refundable. The same applies if you do not attend.
4.5 No refund is due because you miss part of a course, leave early or do not complete its requirements. This does not affect your rights if we fail to provide the course as agreed or where applicable law requires a different outcome.
- Requests to change a booking or training date
5.1 Requests to change or transfer a booking must be emailed to info@dermainstitute.us. A transfer is subject to availability and is confirmed only when we agree it in writing.
5.2 Please give at least one month’s written notice of a requested change. A request made at least one month before the scheduled training day will be considered without an administration fee.
5.3 If we agree to a change requested within one month of the scheduled training day, a $500 administration fee applies. This also applies to a booking originally made within one month of the training day.
5.4 If we cannot agree a transfer and you cannot attend, the cancellation rules in Section 4 apply. Requesting a transfer does not, by itself, cancel your existing booking.
5.5 Cancellation and transfer requests are processed between 9 am and 5 pm Eastern Time, Monday to Friday, excluding US federal holidays. A request received outside those hours is treated as received on the next business day.
- Changes or cancellation by Derma Institute
6.1 We may make reasonable changes to instructors, teaching arrangements or course content where they do not materially change the course you booked. We may also make changes needed to meet legal, professional or qualification requirements.
6.2 If we change your course date or venue, we will tell you as soon as reasonably possible. You may accept the new arrangement or receive a full refund of the fee paid for the affected course if the change does not work for you.
6.3 If we cancel a course, including because of insufficient bookings or unforeseen circumstances, you may choose an available alternative date or a full refund of the fee paid for the affected course.
6.4 If a cancelled course forms part of a package that has already started, we will offer an appropriate replacement for that element or a refund for the undelivered element.
6.5 We are not responsible for travel, accommodation or other costs arranged separately by a delegate when a course is changed or cancelled, except where applicable law provides otherwise.
- Attending and completing a course
7.1 You must follow our trainers’ reasonable instructions and the health, safety and conduct rules of the training venue. A trainer may prevent you from carrying out a practical procedure if they reasonably consider that you are not ready to do so safely.
7.2 Models are provided for educational purposes. You are not required to bring your own model unless this is expressly stated for a particular course. We make reasonable efforts to arrange a suitable range of models, but cannot guarantee every treatment area or procedure on every date.
7.3 Group consultations and treatment planning may form part of practical teaching. Different trainers may deliver different parts of a course.
7.4 You must attend the required sessions and meet any applicable assessment requirements to receive a certificate. Late arrival or missed teaching may prevent you from taking part in practical training or receiving a certificate.
7.5 If food is provided and you have dietary requirements, please tell us at least one week before the course so we can make reasonable arrangements.
7.6 We provide training. We do not guarantee employment, income or a particular business outcome following a course.
- Course materials, model information and photography
8.1 Course materials are provided for your own learning and professional development. You must not copy, distribute, sell or share them without our written permission.
8.2 You must not record, photograph or film teaching sessions or models without the permissions required from Derma Institute and the people concerned.
8.3 You may use model information made available during training only for the relevant supervised consultation and treatment. You must keep it confidential and must not retain or copy model records for another purpose.
8.4 Before-and-after images supplied for training or assessment must not be posted on your own website, social media or marketing materials without all necessary permissions and our written authorisation.
8.5 We may take photographs during training. We will ask for separate written permission before using an identifiable delegate or model image, or identifiable treatment information, in our marketing. Attending a course or model appointment does not, by itself, grant that permission.
- Level 7 programmes and guided days
9.1 You must meet the published entry requirements for your Level 7 programme. The programme may include online study, assessments, practical training and supervised or guided days, as described in your programme information.
9.2 The awarding organisation may change qualification requirements. Where a change affects your programme, we will explain any adjustment needed to meet the applicable requirements.
9.3 The cancellation and transfer rules in Sections 4 and 5 apply to booked supervised or guided days. If you cancel or request to reschedule a guided day with less than one month’s notice, or do not attend, you forfeit the booking for that day.
9.4 A missed guided day may also incur a fee of $799 + tax per day, as stated in your Level 7 booking information. Any fee for booking a replacement day will be disclosed before you commit to that date. We will not charge twice for the same missed day under this clause and Section 5.3.
9.5 If you cancel a Level 7 programme within one month of its first scheduled training day, withdraw after it starts, or fail to engage with or progress through its requirements, the full programme fee remains payable, subject to applicable law and any failure by us to provide the programme as agreed.
9.6 The Level 7 programme must be completed within two years of your start date unless we agree an extension in writing.
- Course packages
10.1 A package includes the components listed in its description when you book. Packages are fixed and cannot be changed unless we agree otherwise in writing.
10.2 For cancellation purposes, the first scheduled training day in the package is the relevant start date. If you cancel within one month of that date, the full package fee remains payable, subject to applicable law and any failure by us to provide the package as agreed.
10.3 A limited-time discount or offer is subject to the conditions shown when you book, including any deadline for full payment. We will not change the terms of an accepted booking retrospectively.
- Treatment model appointments
11.1 Models must be at least 18 years old and provide the information and clinical consent needed to assess and carry out a treatment. Treatments are performed by delegates under the supervision of our trainers.
11.2 A $100 prepayment is required to secure a model appointment. It is credited against the treatment price on the day.
11.3 If you need to reschedule, please give at least 48 hours’ notice. We will transfer your prepayment to an available replacement appointment. If you cancel, do not attend or give less than 48 hours’ notice to reschedule, the prepayment is non-refundable, except where applicable law requires otherwise.
11.4 If we cancel your appointment, we will offer another available date or refund your prepayment.
11.5 We may take photographs for consultation, treatment records and supervised training. We may also invite you to give separate written permission for identifiable images or video to be used on our website, social media or other marketing. You may decline marketing use and still attend as a model. For questions about model photographs or a request concerning an image already published, email models@dermainstitute.us.
- Complaints
12.1 Please submit a formal complaint about a course or model appointment in writing to info@dermainstitute.us within 14 calendar days of the final course day or appointment. We will consider a complaint received later where the matter could not reasonably have been identified within that period. This process does not remove any legal right you may have.
12.2 Please include your name, the date and location, and details of your concern. We may request further information needed to investigate.
12.3 We will acknowledge receipt in writing within two business days. Once we have the information needed to investigate, we aim to provide a written outcome within 20 business days. If an investigation takes longer, we will update you.
- Responsibility and liability
13.1 We will prepare course materials and provide courses with reasonable care and in accordance with the course description, subject to the changes permitted by these terms.
13.2 To the extent permitted by applicable law, our total liability for claims relating to a course or its materials is limited to the total fee you paid for that course.
13.3 We do not limit liability for fraud, personal injury caused by our negligence, or anything else that cannot lawfully be excluded or limited. Nothing in these terms removes a remedy that applicable law gives you.
- General terms
14.1 These terms are governed by the laws of Florida, subject to any mandatory law that applies to your booking or treatment.
14.2 If one provision cannot be enforced, the remaining provisions continue to apply.
14.3 A delay in enforcing a provision does not waive our right to enforce it later.
14.4 The version of these terms accepted when you book applies to that booking. A later version applies to future bookings unless we agree a change with you in writing.
14.5 Our handling of personal information is described in our Privacy Policy.
